About Your Badge
Attendees and presenters must carry their badges with them at all times while attending AMS meeting related events.
Americans with Disabilities Act
It is the Society’s sincere desire to comply fully with both the letter and the spirit of the Americans with Disabilities Act (ADA) of 1990. Attendees with special needs are kindly asked to notify the AMS Meetings Department four to six weeks prior to the meeting so that necessary services such as real-time captioning (communication access real-time translation, CART), special printing needs, reserved seating, or wheelchair-accessible service for the hotel shuttles can be arranged.
Special housing needs should also be requested when hotel reservations are made. AMS wants to ensure that each attendee's stay at our meetings is a pleasant and productive one.
Attendee Lists
The AMS will make attendee lists available to any registered attendee. Attendees who do not want their name and address information included on the list must note this when registering. Please send an email after a meeting to request a copy of the attendee list. The list will only be delivered in an electronic format and will contain name, address, and affiliation (if provided). No phone numbers or email addresses will be provided.
Photo Release
From time to time AMS uses photographs of conference events in its promotional materials. Unless this permission is revoked in writing to the AMS, by virtue of their attendance all conference visitors agree to the use of their likeness in such materials.

Inclusivity at AMS
AMS is commited to creating an environment for meetings that “embraces diversity through the inclusion of individuals across age, gender, race, sex, nationality, ethnicity, physical ability, marital status, sexual orientation, body shape or size, gender identity and expression, socioeconomic status, and other facets of social diversity” (see: https://www.ametsoc.org/index.cfm/ams/about-ams/diversity-and-inclusion-at-ams/).
Special Meals
Attendees with special dietary requirements (e.g., vegetarian or kosher meals) should make the proper selection when registering.
Visa Information for International Attendees
Most travelers to the United States must hold a valid visa and a passport valid for at least six months longer than the intended visit. If you do need a visa, please understand that the visa application process may take several months. An interview appointment is required for a visa application at all embassies and consulates. The wait time for this appointment varies, but may be as long as three months, with processing taking an additional month or more. As soon as you decide to attend the meeting, you should begin the process of applying for a visa. Should you need an invitation letter, please understand that you either need to have an accepted abstract to the Annual Meeting or must be registered and paid in full. Should your visa application not be accepted, we will be happy to refund your registration fee. Please email [email protected] to request a letter of invitation once you've registered or received your abstract acceptance notification.
The United States has made some important changes to the US-VISIT program, which was instituted in 2004. The program now requires most foreign visitors to have a set of complete fingerprints taken along with a digital photograph to verify identity at consulates as well as the port-of-entry. Most Canadians are currently exempt from US-VISIT requirements. A departure confirmation program, as part of US-VISIT, is also now currently in place. This program applies to all visitors, including those from visa waiver countries.
